Special Assistant to the Co-Executive Director

Responsibilities:

  • Strategic management and oversight of the Co-Executive Director’s time
  • Maximize strategic communications, and commitments for the Co-Executive Director, including scheduling and confirming internal and external meetings, cataloguing incoming emails, and tracking progress of certain conversations and projects.
  • Support the Co-Executive Director for meetings and engagements, including:
  • Conducting research on Co-Executive Director’s appearances and meetings;
  • Preparing necessary documents for meetings; and
  • Tracking any follow-up.
  • Provide external relationship management support to enable the Co-Executive Director to cultivate, facilitate and manage key relationships with allies, funders and elected officials.
  • Prepare correspondence, reports/presentations, and assist with planning, research and other writing assignments for both internal and external audiences.
  • Manage all administrative support for the Co-Executive Director including travel support, logistical support, expense reimbursements, and timesheets.
  • Other duties as assigned including project management of special projects and initiatives.

Qualifications

At least two years work experience in office or project management in a non-profit or similar environment.

Strong organizational skills, a demonstrated ability to prioritize tasks, work under pressure in a fast-paced environment and meet deadlines.

Excellent calendar management skills.

Excellent writing skills.

Highly proficient in the use of MS Outlook, Word, Excel, and Power Point and the ability to learn new technologies and software as needed.

Demonstrated experience with research and information gathering, including the ability to quickly gather data in a short timeframe, on a wide variety of topics.

Highly detail oriented, with meticulous approach to follow through, including systems for tracking follow up.

Strong interpersonal, communication and relational skills; strong verbal communication skills; demonstrated ability to function in a collaborative and collegial environment, and to interact effectively with diverse staff at all levels of the organization.

Ability to work independently with minimal supervision.

Good judgment, flexibility and patience; discretion in dealing with confidential and sensitive matters.

Bonus qualifications, not required:

Fluency in Spanish

Experience with Salesforce
